Notes for Affiliating your Club to England Netball

Please read carefully all these notes before completing the Affiliations Renewal report for MANUAL affiliations and keep for future reference. Please note you can also download a separate detailed note from England Netball on how to affiliate ONLINE.

Click the underlined links to download copies of the letter sent out to Clubs at the start of the season – these letters also include details of the current fees. There is one for Clubs affiliating MANUALLY and one for Clubs affiliating ONLINE.

Affiliation Process and General Information

1. The affiliation year runs from 1 September to 31 August. Club Membership fees are payable on and from 1 September, and must be paid no later than 31 December of the affiliation year to be eligible to vote at the AGM. However please note that you should also be aware of the deadlines imposed by the Rules of various Leagues within Surrey and of eligibility for other competitions. Please note that unless players (and officials)\ are affiliated they are NOT insured to participate in netballing activities.

2. A unique, unchanging ID is issued to each Club and Participant. These will be pre-printed on to membership cards at renewal. When a Club or Participant first joins EN, a unique ID Number is issued.

For MANUAL affiliations for example: in 2009/10 new Clubs will be issued with temporary Club ID’s prefixed with “X”, e.g X001, X002, etc. New Participants will use the temporary ID of the Club, then a sequential number, e.g X023/01; the next participant will be X023/02, and so on. At renewal, the Club and Participants will be issued with pre-printed membership cards by England Netball showing their new EN ID.

New Participants at a Club that already has an EN Club ID will use the Club ID, then a sequential number, e.g 1005/01; the next new participant will be 1005/02, and so on.

3. An individual may register with more than one club, but needs pay the EN fee only once. The club that accepts this fee is deemed to be the participant’s First Claim Club, and any additional registrations are Second Claims. Please indicate on the application form in the appropriate column if the participant is Second Claim only to your Club.

4. Second Claim participants are not entitled to a registration card – they may obtain the card from their First Claim Club.

5. Only when the current membership fee has been paid to England Netball or the County, will players be eligible to attend courses or take awards, or be considered for trials, and teams may enter tournaments. Membership cards are issued direct by England Netball with the first issue of their magazine.

6. Please obtain parental consent before registering any player who is under 18 years of age.

7. Changes to names, addresses, etc throughout the year can be notified to changemyaddress@englandnetball.co.uk and should also be given to the County Secretary and County Affiliations Secretary.

8. England Netball will not pass personal details of any affiliated participants to 3rd parties without their prior consent, and will never pass on details to other organisations for marketing purposes.

9. Additional members and participants may be registered later in the year by sending their details and fees direct to England Netball or to the County Affiliation Secretary, (who will allocate a temporary ID No until EN issues a unique one at renewal.

See Note 2).

General Notes For Completing Participants Details Form

10. Where details have been pre-printed (that is, for renewing Clubs), please check and amend any details as required – e.g Secretary’s name, address details of participants, etc. New participants should be added at the end of the listing. Please cross out the name of any participant who is not renewing, but do not obliterate their Netball ID so that EN can easily update their records!

11.Type: Circle whether Club or YPG

12. Secretary: Should always be the first record in the listing. For subsequent sheets, please delete the word “Secretary” from the second column.

13. Club ID: The unique number is issued by EN to each Club when they affiliate. If a new Club, please leave blank, and a temporary ID will then be assigned by the County Affiliation Secretary for those clubs affiliating MANUALLY. See Note 2.

16. Full Address & Postcode: Please enter a full, valid address for each person, so that they receive their Netball Magazine. If a complete address is not supplied, the participant’s magazine will be sent to the Club Secretary. Email addresses are also especially useful to EN.
